Executive Assistant job (west-side of Brussels): support senior leaders at a European HQ within a dynamic international organisation. International scope, English-speaking environment.An international company with its European Office on the west side of Brussels is seeking an experienced (2-5 years) Executive Assistant to support the CFO and IR. The role partners closely with a small community of Executive Assistants. Success in this environment calls for sound judgement, a discreet and service-minded approach, and the ability to orchestrate complex priorities across countries.Â
Key responsibilities
- Executive support: Provide high-level administrative support to senior leaders: complex calendar management, meeting planning, document handling and signature flows, presentation support, expense reporting, and end-to-end travel arrangements. Support teams reporting to the CFO, including assisting the accounting team during statutory audits and supporting the tax team in interactions with tax authorities.
- Meeting & event organisation: Plan and support meetings across Europe, including itineraries, hotel bookings, agendas, circulation of materials, and liaison with local contacts.Â
- Project & team enablement: Provide dedicated support to the Investor Relations Director, including management of the Investor CRM; coordination of earnings calls, capital markets days, roadshows and company visits; maintenance of the IR calendar; support in preparing Group financial communications (Annual and Half-Year reports); support to press releases and distribution of disclosures via Euronext, FSMA and other channels, including updates to the corporate website.
- Process excellence: Create and maintain clear process descriptions, charts, and checklists; proactively spot opportunities to streamline ways of working.Â
- Minutes & follow-up:Â Attend meetings, capture accurate minutes, and drive follow-up on action points.Â
- Office coordination: Serve as a point of contact for office-related matters at the European HQ, ensuring smooth daily operations together with fellow EAs.Â

Profiel kandidaat
- 2–5 years of proven experience as an Executive Assistant supporting senior leadership in international and European environments
- Ability to work good under stress with ups and downs in workload
- Ability to respond within 12-24 hours.
- Strong organizational and time-management skills with excellent attention to detail
- Ability to manage urgencies, shifting priorities, and multiple tasks simultaneously
- Proactive, improvement-oriented mindset with the ability to identify and drive process improvements
- Excellent interpersonal and professional communication skills
- Discreet and trustworthy when handling sensitive and confidential information
- Strong ability to work independently and collaboratively within a team
- Flexible, adaptable, and open to change in fast-paced environments
- Committed to meeting deadlines and achieving business performance targets
- Strong interest/experience in financial environments and investor relations
- Advanced knowledge of Microsoft Office 365 Word is necessary and Windows environment (Outlook, Teams, SharePoint, Word, Excel, PowerPoint)
- Fluent in English, both written and spoken; French is a big plus as 1 of the executives is a French Native speaker
- Eager to learn new skills and continuously develop professionally
