Our client is a leading European organization representing community pharmacists and their professional associations. Based in the European Quarter of Brussels, the team is international, collaborative, and dedicated to meaningful work in healthcare policy and advocacy. With a small, close-knit team, you will have the opportunity to make a visible impact and help ensure the organization runs smoothly on a daily basis.Join a dynamic international team in Brussels as an Office Manager, providing administrative and operational support to ensure smooth daily operations. Open to temporary and freelance arrangements.
- Support the leadership team in daily operations and administrative tasks
- Manage office administration including HR, finance, and technology support
- Coordinate logistics for meetings, conferences, and events (online and on-site)
- Maintain and update internal platforms, website content, and event information
- Support bookkeeping tasks, invoicing, and expense reporting alongside external accountants
- Handle correspondence, phone calls, emails, and office records efficiently
- Organize travel and accommodation for team members
- Liaise with external partners, vendors, and building management
- Facilitate internal communication and collaboration within the team and with member associations
- Take initiative to anticipate needs and proactively lighten the workload of the leadership

- Temporary full-time position (80% FTE) or freelance arrangement
- Competitive salary, in line with market standards
- Flexible work arrangement: hybrid with office presence on Monday and Thursday, remote the other 3 days

Profiel kandidaat
- Several years of experience in office management, administrative assistance, or similar roles, ideally in international or multi-cultural environments
- Fluent in English and French (both written and spoken); knowledge of other European languages is a plus
- Highly organized, detail-oriented, accurate, and reliable
- Proficient in Microsoft Office, SharePoint, Extranet, Dimona, and basic bookkeeping
- Excellent multitasking, time management, and problem-solving skills
- Independent, proactive, and able to take initiative to support the team
- Strong communication skills, tactful, diplomatic, and collaborative
